At Aptioun, we designed and implemented a fully integrated registration and access management system for the Global Smart Cities Forum, organized by the Saudi Data and Artificial Intelligence Authority.
The bilingual platform supported multiple attendee categories and enabled real-time entry through Honeywell scanning devices, along with instant badge printing via eight on-site printers.
The objective was to enhance on-ground operational efficiency and deliver a structured, seamless experience for participants from registration to entry.
The system was developed in both Arabic and English, supporting multiple registration categories based on event requirements, such as Visitor, Staff, Participant, VIP, and more. This ensured accurate participant classification and simplified access control and entry flow management.
To maintain high efficiency during peak times, we deployed a real-time operational setup using Honeywell scanning devices for instant and accurate check-in. We also implemented on-site badge printing through eight dedicated printers positioned at entry gates, enabling immediate badge issuance upon verification without delays.
In addition, we integrated the system with WeBook’s registration platform to display live statistics and operational performance indicators related to registration and attendance. This allowed the organizing team to monitor activity and make informed decisions throughout the event.
The solution successfully supported an attendance of over 3,000 participants, ensuring structured data management, fast entry processing, and accurate reporting.
